User Copilot
User Copilot: expenses from WhatsApp, Microsoft Teams and Slack
Mobile apps still need downloading, learning and logging into. The User Copilot meets people in the apps they already open every day: a photo on WhatsApp or a message in Teams becomes a claim, and a question gets a straight answer.
A photo becomes a claim
Send a receipt and the copilot reads it, creates the expense, suggests the category and VAT, and asks only for what is missing.
Mileage from a sentence
Say where you drove from and to, by postcode or saved place, and the distance, rate and claim are calculated for you.
Answers, not menus
Ask what is outstanding, what has been paid or what needs approval. Managers can ask about their team and approve on the spot.
Receipts
Snap, send, done
A receipt photographed and sent in chat is read in real time. The copilot replies with the expense it has created, the category and VAT it has suggested, and structured prompts to confirm the payment method or add anything missing. The claim then appears in the web and mobile apps like any other, ready for approval.
- Submit receipts and create expenses by sending a photo
- Match a receipt to a corporate card transaction from the same conversation

Mileage
I drove from NE21 5PU to SN11 8AR
Field teams rarely want to open an app after a long drive. A single message with the start, end and any waypoints raises the mileage claim with the distance calculated from real routes, commute deducted where your policy says so, and the right rate applied.
- Raise mileage from home, office, postcodes and waypoints
- HMRC and Revenue rates and banding applied automatically
- Real-time confirmation with a link into the claim

Questions and approvals
Ask what is outstanding, approve what is waiting
Employees ask when they will be paid or what is still in draft. Managers ask what their team has submitted and approve or query claims without leaving the conversation. Notifications for approvals needed, approved or rejected arrive in the same place, with deep links into the app.
- What is outstanding, what was paid, what needs approval
- Managers see and approve their team's claims
- Real-time notifications with links into the right screen

Control
Rolled out and switched off per person
WhatsApp runs through Twilio with administrator control per user, so you can offer it to field teams and keep office staff on Microsoft Teams or Slack. Conversational services can be disabled for an individual instantly if a device is lost. Your data is never used to train public models, and every request is converted into a controlled query scoped to your organisation and user.
- Enable per user, per channel
- Disable instantly for a lost device
- No product data sent to open models for training
