What shipped, and what is next

Capture Expense releases every couple of weeks. This is the summary finance teams asked for: the changes that matter, in plain English.

  1. Card transaction feeds, team permissions and dashboards

Direct issuer card feeds replace Open Banking for corporate card programmes, a new Team permissions role, and KPI dashboards for finance.

    Corporate cardsPermissionsReporting

    • Card transaction feeds. Daily issuer feeds from Visa, Mastercard and American Express commercial programmes give faster go-live (days rather than months), complete merchant and currency data, and far fewer missing transactions than Open Banking alone.
    • Team permissions. A new role lets team leads see and manage their own people without administrator access.
    • Dashboards and KPI reporting. Spend, approvals and activity dashboards for finance and budget holders, with approval cycle-time measures.
    • Onboarding. Self-service setup steps and an upgraded knowledge base with in-app guidance.
  2. Native ERP integrations, Capture Expense cards and subscription modules

Two-way API connectors with self-service setup, Visa cards issued through Pliant, a tracked payments process, per diems, advances and FTP delivery.

    IntegrationsCorporate cardsPaymentsPer diems

    • API integrations. Two-way data sync with self-service setup for Xero, QuickBooks Online, Microsoft Dynamics 365 Business Central, NetSuite and SAP Business ByDesign, documented for onboarding. Sage Intacct is next.
    • Capture Expense cards powered by Pliant. Virtual and physical Visa card issuing across credit, debit and prepaid, with real-time transaction feeds and spend controls, reconciled in Capture Expense.
    • Payments process. Every payment is tracked and made only once, with full history and standardised export formats.
    • Subscription plans and modules. Features and modules can now be switched on per subscription tier.
    • Expenses export via FTP. Automated delivery of export files to third-party systems, ideal for multi-entity and remote-site environments.
    • Per diem. Customers manage their own rates by country with an AI-assisted rules engine, without pre-packaged templates that go out of date.
    • Also live. Advances and petty cash management, multi-level pre-approval workflows, support for organisations of up to 5,000 users, and an internal admin console for faster support.
  3. HSBC MiVision, multi-page OCR and WhatsApp Copilot actions

A direct HSBC MiVision card feed, multi-page document reading, and a WhatsApp Copilot that notifies, approves and answers questions in any language.

    Corporate cardsOCRCopilot

    • HSBC MiVision integration. Direct feed and reconciliation support for the HSBC MiVision card programme.
    • Multi-page document OCR. Receipt parsing now handles multi-page uploads such as hotel bills and supplier invoices.
    • WhatsApp Copilot. Real-time notifications for claims that need approval and for approved or rejected claims, each with a link into the app. Receipt workflows for cardholders and reimbursements, mileage claims with office, home and waypoints, personal and team questions, and multi-language support.
    • Modules aligned with Concur. Feature naming aligned to make competitive benchmarking and switching simpler.
  4. Onboarding emails, bundled notifications, approval audit and personal receipt email

Role-based getting-started emails, notifications people actually read, an approval audit export that measures cycle times, and a personal address for forwarding receipts.

    OnboardingNotificationsReportingReceipts

    • Onboarding emails and help centre. Automated getting-started emails for users, admins and finance, with step-by-step guides linked from each email and customisable guides for admins.
    • Notifications overhaul. Bundled notifications, controlled by each user: hourly, daily, weekly or monthly. Half of users had switched notifications off; now they keep them on.
    • Approval audit. A detailed export with timestamps for receipt, submission and every approval stage, so you can measure time to submit, time to approve and first-pass rates.
    • Personal receipt email. A unique address linked to each account. Forward receipts from anywhere, including shared cards, travel bookings and subscription services.
    • Per diem. Daily allowances calculated from trip details using rates by country, built for global and European travel policies.
  5. User Copilot on Teams and Slack, Finance Copilot, Smart Audit and approval insights

The AI release: copilots for employees and finance, Smart Audit auto-approval, approval insights, a read-only auditor role, export history and multi-language support.

    AICopilotSmart AuditMulti-language

    • User Copilot on Microsoft Teams and Slack. Capture, claim, approve and query expenses inside the apps people already use, with no need for WhatsApp on managed devices. New receipt captions add split bills and claim descriptions.
    • Finance Copilot. Ask natural-language questions such as “top spend by user this year” and get instant answers, charts and tables. Find anomalies, trends and policy issues before they become problems.
    • Smart Audit and auto-approval. Approves, rejects or escalates claims by comparing receipts, policies and past approvals. Text-based rules for departments, roles or people, and a transparent audit trail.
    • Approval insights. AI-powered analytics for approvers, highlighting spending patterns, policy issues and anomalies.
    • Multi-language support. Improved accessibility for global users and multi-entity organisations, with more languages available on request.
    • Auditor role. Read-only access to all company data for third-party statutory auditing, with additional exports from the archive.
    • Export history. A history tab with re-export in different formats and revert-and-retry without manual fixes.
  6. Trips, Smart Categories, expense alerts and the iplicit partnership

Trip-based spend limits, AI category assignment, colour-coded policy alerts, and a two-way iplicit integration, following the Xero marketplace launch, document intelligence and the Just Ask copilot.

    TripsAIAlertsIntegrations

    • Trips. Allocate expenses to a user-defined trip with time-based spend limits across categories, trip-wide policy enforcement, subsistence rates by duration and location, and route planning with maps, waypoints and stops.
    • Smart Categories. AI assigns accounting categories to receipts and corporate card transactions, shows a sparkle when it does, lets users override, and keeps existing merchant mappings for consistency.
    • Expense alerts. Centralised business rules applied in real time across every entry method, customisable by role, team, location and category, with additional VAT rules and colour coding for users and approvers.
    • iplicit partnership. Two-way API integration that pulls pre-accounting records including VAT, categories and tags, and pushes approved receipts and expenses directly into iplicit.
    • Earlier in the year. Xero marketplace integration with automatic onboarding, WhatsApp receipt creation, fixed FX rates by month, real-time document intelligence, the Ask James reporting copilot, native iOS and Android apps with SSO, pre-approval for travel, and subsistence rates for the Irish market.
